Gym & Fitness Studio Software: A Member-Management Checklist for 2026
Class booking, 1:1 PT scheduling, memberships, check-in, challenges, and health-questionnaire controls. A practical gym software checklist for 2026.
One Calendar for Classes and 1:1s
Most gyms run two businesses at once: group classes and personal training. Too many tools force you to manage them in separate systems — a class-booking app on one side, a PT scheduler on the other. The result is double-booked coaches and members who can't see everything in one place.
The first thing to look for in 2026 is a platform where group classes and 1:1 appointments live on the same calendar, booked from the same member app.
1. Memberships That Match How People Actually Pay
Unlimited monthly, 10-class packs, intro offers, drop-ins, corporate rates — your members don't all want the same thing. Software that only does "one membership type" narrows the commercial model. Look for flexible pass rules, transparent commitment periods, and renewal and failure handling your team can explain.
2. Self Check-In at the Door
A QR code or magic-link check-in beats a receptionist marking attendance by hand. It's faster for members, it gives you accurate utilization data, and it frees your staff to coach instead of admin.
3. Challenges and Leaderboards
Retention is the whole game. 30-day challenges, attendance streaks, and monthly leaderboards keep members engaged between sessions. Built-in points and badges turn a transactional membership into a community — and community is what stops people from cancelling.
4. Coach Scheduling and Commission
Per-coach availability, qualifications, and hourly rates should be first-class. If your coaches earn commission, the system should calculate it automatically at month-end and export cleanly to your accounting tool — not leave you reconciling a spreadsheet.
5. Health Questionnaires and Consent
If your risk assessment calls for a PAR-Q or another health questionnaire, the software should support the form, an appropriate renewal policy, restricted access and clear consent evidence. The venue remains responsible for the legal and clinical wording; booking software should enforce the approved workflow, not invent it.
The Bottom Line
A modern gym platform should run group fitness, personal training, memberships, check-in, retention, and compliance from one place. When you're evaluating options, map each item above to a real screen in the product. If the demo can't show it, it probably can't do it.
