From Spreadsheets to Studio Software

A spreadsheet can be an excellent early operating tool. The problem begins when it becomes a database, booking interface, payment ledger, and staff coordination system at the same time.

Signs the workflow has outgrown the sheet

• two people regularly overwrite or duplicate the same record;
• capacity and payment status are stored in different places;
• cancellations require several manual updates;
• clients cannot see an authoritative availability state;
• access is broader than each staff role needs;
• reports depend on one person's undocumented formulas;
• answering a deletion or export request requires searching many files.

These symptoms matter more than an arbitrary client count.

Stabilize the source before migrating

Do not begin by importing every column. First identify the records the new system must understand: clients, services, schedules, bookings, products, balances, staff, locations, and relevant historical transactions.

Create stable identifiers, normalize dates and currencies, define a duplicate rule, and separate operational notes from structured fields. Preserve an immutable copy of the source export.

Reconcile a sample

Run a small import and compare:

• row and record counts;
• active product balances and expiry dates;
• future bookings and capacities;
• revenue and outstanding liabilities;
• staff access and location assignments.

Record every mapping decision and exception. The final import should use the same documented process.

Plan the cutover

Choose a source freeze time, final export, validation owner, client communication, and rollback trigger. Payment credentials often cannot be moved like ordinary data, so processor changes need a separate plan.

Keep useful spreadsheets

Moving to software does not mean banning spreadsheets. They remain valuable for scenario modelling and one-off analysis. The improvement is having one operational source of truth, then exporting controlled data for analysis.
