A Practical Gift-Card Strategy for Studios
How to design, sell, account for, secure, and measure gift cards without relying on universal margin or breakage claims.
Gift cards can introduce a new client, simplify gifting, and bring cash in before a service is delivered. They also create a liability and a promise that the venue must be able to honor.
Define the product clearly
State the value, currency, where it can be used, expiry if legally permitted, transfer rules, refund treatment, and what happens if the price of a service changes. Put these terms where both buyer and recipient can find them.
Make redemption simple
The recipient should be able to check the balance and apply the gift card without staff manually editing a payment. Partial redemption, mixed payment, cancellations, and refunds need explicit rules.
Secure the value
Use unpredictable codes, rate-limit balance lookup and redemption attempts, and keep an audit trail for issuance, transfer, use, adjustment, and cancellation. Staff permissions should separate ordinary redemption from balance changes.
Treat the accounting carefully
Cash received for an unredeemed gift card may not be recognized in the same way as an immediately delivered service. Tax, expiry, and unclaimed-balance rules vary by jurisdiction and product design. Confirm treatment with a qualified local accountant rather than relying on a generic article.
Plan campaigns around a real occasion
Offer a clear recipient experience, realistic delivery date, and useful choice of services. Avoid artificial urgency or discounts that make existing clients delay ordinary purchases.
Measure the full program
Track sales, redemptions, time to redemption, additional spend, refunds, support work, and outstanding liability. Do not treat unredeemed value as effortless profit.
