The best system is not the one with the longest feature list. It is the one that removes daily friction for clients, instructors, reception staff, and the people responsible for finance and compliance.

Use this checklist with your real schedule and policies. A polished sales demo is less useful than seeing the system handle the awkward cases your venue meets every week.

1. A schedule that fits the operation

Look for rooms, instructor availability, recurring sessions, capacity, waitlists, substitutes, cancellations, and both class and appointment formats. Test a busy week rather than a blank sample calendar.

2. Flexible passes and memberships

The system should express the products you actually sell: drop-ins, clip cards, time-limited passes, subscriptions, introductory offers, and restrictions by service or location. Ask what happens when a pass expires, freezes, or overlaps another pass.

3. A short mobile booking flow

Try discovery, purchase, booking, cancellation, and account recovery on a phone. Clients should understand price, availability, and policy before they confirm.

4. Waitlist automation with clear rules

Check how a freed spot is offered, how long the offer lasts, and what happens when nobody accepts. Staff should be able to explain the rule without consulting a manual.

5. Payments suited to your market

Confirm supported currencies, tax handling, refunds, subscriptions, gift cards, and the payment methods your clients use. Obtain the processor's current fee schedule in writing; fees and availability vary by country.

6. Staff roles and an audit trail

Reception, instructors, managers, and owners should not all have identical access. Sensitive changes should be attributable to a person and time, with confirmation for consequential actions.

7. Useful communications

Booking confirmations, reminders, schedule changes, and targeted campaigns should use the same source of truth as the booking record. Check consent, unsubscribe, and delivery-failure behavior.

8. Reports you can reconcile

Ask the vendor to trace a number from a dashboard back to its underlying transactions. Revenue, attendance, liabilities, utilization, and payouts should be exportable for independent review.

9. Portable data and a tested migration path

Before signing, ask what can be exported, in which format, and how payment credentials are treated. Run a sample import and reconcile totals before choosing a cutover date.

10. Privacy and security controls

Review the data-processing agreement, sub-processors, retention controls, access model, incident process, and deletion workflow. Your venue remains responsible for using the system appropriately.

Turn the checklist into a scorecard

Give each item a weight based on your operation, then score every candidate using the same sample data. Record unknowns as unknowns rather than giving credit for a roadmap promise.
