How to Migrate from Mindbody in a Weekend

Switching booking systems sounds scary. It doesn't have to be. Here's our step-by-step guide to migrating from Mindbody without losing a single member.

The Fear Is Worse Than the Reality

Every studio owner we talk to has the same reaction when we mention switching from Mindbody: "We can't. It would be chaos." We get it. Your member data, booking history, active subscriptions, and upcoming schedule all live in one system. The idea of moving everything feels overwhelming.

But here's what we've learned from planning our own migration: with the right preparation, you can switch booking systems over a weekend without your members even noticing.

Before the Weekend: Preparation (1-2 Weeks)

Step 1: Export Your Data

Mindbody allows you to export client data, sales history, and appointment records. Do this well in advance. You'll want:

  • Member list — names, emails, phone numbers, date of birth, emergency contacts
  • Active passes — who has what, when it expires, clips remaining
  • Booking history — at least the last 6 months for analytics
  • Upcoming bookings — anything scheduled for the next 4 weeks

Export everything to CSV. Review it for duplicates, inactive members, and outdated contact info. This is actually a great opportunity to clean your database.

Step 2: Set Up Your New System

While still running on Mindbody, set up your new platform completely:

  • Configure your rooms, class types, and schedule
  • Set up your pass types with matching pricing
  • Connect Stripe for payments
  • Configure email templates
  • Test the booking flow end-to-end with a few staff accounts

You want the new system to be fully functional before you flip the switch.

Step 3: Communicate with Members

Send an email 1-2 weeks before the switch. Keep it positive and simple:

"We're upgrading our booking system to give you a better experience. On [date], you'll get an email to set up your new account. Your pass, bookings, and credits will all transfer automatically."

No need to mention Mindbody by name. Focus on the benefits: faster booking, better mobile experience, new features.

The Weekend: Migration Day

Friday Evening: The Cutoff

  • 6 PM: Stop accepting new bookings on Mindbody for dates after Sunday
  • 7 PM: Run your final data export
  • 8 PM: Begin importing member data into the new system

Saturday: Import and Verify

  • Morning: Import member profiles, active passes, and account credits
  • Midday: Import upcoming bookings for the next 4 weeks
  • Afternoon: Verify the import — spot-check 20-30 members against Mindbody records
  • Evening: Set up Stripe subscriptions for recurring members (this is the most time-consuming step)

Sunday: Testing and Launch

  • Morning: Full end-to-end testing. Book a class, cancel a class, check in, process a payment
  • Midday: Send "Welcome to your new account" emails to all members with login instructions
  • Afternoon: Your new booking system is live. Keep Mindbody running in read-only mode for 2 weeks as a safety net

The Monday After

Your front desk staff will need extra support on Monday. Expect questions about logging in and navigating the new interface. Have a simple one-page guide printed at reception and emailed to all members.

Most members will figure it out within one visit. The ones who need help are usually the ones who book by phone anyway — and your staff will handle those calls as usual.

Common Concerns

"What about members with active subscriptions?" Create matching subscriptions in your new system. Coordinate the billing dates so members aren't double-charged. Most payment processors make this straightforward.

"What about our booking history?" Import it. Historical data is valuable for analytics and member records. Even if your new system displays it differently, the data should transfer.

"What if something goes wrong?" Keep Mindbody active (read-only) for 2 weeks after migration. If anything critical fails, you can temporarily revert while you fix it. In practice, this safety net is rarely needed but always reassuring.

It's Worth the Weekend

Two days of focused work to save thousands per year, give your members a better experience, and stop fighting software that doesn't fit your studio. That's a trade worth making.

The hardest part isn't the migration — it's deciding to start.
